📤 Add your site's code to Calendar Invites
⚠️ Before you start
Hosts need to be labelled in Aware. Additionally, the email listed in the profile should be the same email used to issue the calendar invite.
Hosts need to be enabled per label in the Location Access Rules.
In this example, Visitors and Contractors will be able to nominate hosts, but not Staff.
On the 🖥️ Web App, navigate to Settings > Location, and then to the Calendar invite email section.
Copy your site's unique email using the Copy button in the Calendar invite email section
- Go onto your preferred calendar provider (e.g. Google Calendar, iCal, Outlook Calendar) and create an event.
In the calendar event, add the people you would like to enrol in Aware and the site's email as another guest/attendee. Save when finished.
All invited parties will receive the usual calendar invite, and a separate email with enrolment instructions.
New, Unnamed profiles will appear in your Profiles tab for every attendee. Their details will be filled out as soon as they complete their self-enrolment.
📤 Pre-fill someone's Details (and email instructions)
Create and invite from profile tab:
On the 🖥️ Web App, navigate to Profiles and click on the +Create profile button on the top-left section of the screen.
Click on Invite profile; a modal will open up on your screen.
- Select the reason for their visit and add the email address of the person you would like to invite.
- When finished, click Invite.
A new profile for this person will appear in your list of profiles of the Profiles tab. With the details that you have filled out.
- You can check the profile again at a later time to confirm if they have filled out a survey or filled out additional details required.
Invite an existing profile in Aware
- On the Web App 🖥️, navigate to the profiles tab.
- Click into the profile of the user you would like to invite them to pre-fill.
- In the profile of the user, on the top right of screen click on Actions > Send invitation for the modal to open up.
- In the modal:
- Select the location you would like the user to be invited to (for customers with multiple locations).
- Select the reason for their invitation (this will determine whether additional information will required from the user).
- Confirm that the email pre-filled in the Email addresses box is correct to the profile of the user you would like to send the invitation to.
- Confirm the selected options and information, then click on the blue Invite button.
