✏️ Edit Check-ins

When someone checks in (or out) using Doorkeeper, a digital record is created in the Aware system, including check-in and check-out times, location, temperature/BAC, survey answers and files (if available).

Records also include a status to indicate if a person is In or Out, or has been asked to Stop because something is wrong. Wait indicates an action was required but no action was taking (filling out a survey, uploading a document, etc).


However, life is rarely perfect and exceptions occur:
  1. Someone makes a typo when filling out a survey.
  2. Someone forgets to check out at the actual time they left the building.
  3. Someone presents to the iPad to check in or out, but they aren't recognised...
To resolve these circumstances, check-in records can be edited by an Administrator.
  1. Change the details of any check-in entry, matched or unmatched.
    1. Adjust the date or time of check-in or check-out.
    2. Associate the record with a profile if it has not yet been matched, or change the check-in record to a different Profile if it's an incorrect match.
  2. Check someone out, if they forgot to do it.
  3. Delete a check-in record entirely.
⚠️ Some actions, however are not possible:
  1. Survey answers cannot be edited. However, if a Profile was created in the process, you can edit its details to fix typos, such as name or other metadata.
  2. Survey answers cannot be deleted. They have their own expiration date, which you can set by following these instructions 👈.
  3. If you need to do a purge of data for a full location, please contact us for assistance.

To edit check-ins

  1. Login to the Aware Web App 🖥️. You'll arrive at Activity > Check-Ins page of your data.
  2. Click on the check-in record you'd like to edit, and then on Edit check-in. Alternatively, right-click to display all context menu actions, and click on Edit this check-in at the bottom of the page.
    1. Use the dropdown at the top to assign or change the Profile associated with the record.'Use the time selectors to adjust the date and/or time of the In and/or Out record.
    2. If the person is checked In, you can manually check them out by adding a date/time to the blank Out record.
  3. When you're ready, click the Save button
    1. The corresponding check-in record will appear updated in the Check-in view on the Activity page.
    2. This record's detail view will indicate In time, or Out time or both when a record was manually set - to distinguish it from those automatically created by Doorkeeper Pro and Lite.
❗️Please note that you cannot edit a record that has a STOP status
