How to add an asset / item

The items page is where you can record the details of an item or asset within your business that requires a scheduled or recurring task, for example, plant or machinery that requires annual maintenance to be undertaken.

You can add tasks, audits, and actions to an item, as well as files, photos and procedures or policies that are stored within your file manager.

Each item has its own unique QR code which you can print and attach to the physical item. This
allows you to scan the QR code using the Rapid App, and complete an Audit, Task or Action on it.

Adding assets / items

  1. Select the “Items” heading tab to navigate to the items dashboard:
     
  2. Click on the green button at the top right of the screen labelled “Add New Asset/Item” > a pop-up box will appear with options for creating a new asset/item:
  3. Enter Asset/Item Details:
  • Asset/Item ID: Enter the unique identifier for the asset/item.
  • Asset/Item Name: Provide a descriptive name for the item. Be sure to include the asset number in the name, as item searches during task creation can only be done by item name, not by item number.
  1. Select Categories and Location
  • Category & Subcategory: Choose the appropriate category and subcategory from the drop-down menus.
  • Location: Select the location of the item within your business. For mobile assets like vehicles, select the first two location levels. The third level is optional.
  1. Attach Files (Optional): You can attach files such as a Safety Manual or Work Instruction related to the item.
    To attach a file, you have two options:
    From File Manager: Click the “From File Manager” button to attach a file stored in your Rapid Induct system.
    Upload Directly: Drag and drop files into the upload box or use the upload button to select a file from your desktop.
  2. Use the free text fields to add comments or detailed information about the asset/item. This section is not mandatory
